Managing Loyalty Customer Transactions in Extra360

The Loyalty Customer Transactions section encompasses adding customers, rewarding them through your loyalty and rewards program, and processing refunds. These features ensure efficient and rewarding customer interactions, fostering long-term engagement with your brand.

1.Adding Customers to Extra360

Customers can be added to Extra360 in several ways:

  • Automatic Addition: Customers are automatically added when they create an account through your store or make a purchase.

  • Manual Addition: You can manually add customers by providing their name, surname, phone number, email, address and consents directly from the Shopify Customers section.

  • Importing Customer Data: Customers can also be imported from another platform through the Settings section. This allows you to quickly bring in large customer datasets.

  • Loyalty Pop-Up Widget: Customers can create an account directly through your store’s loyalty pop-up widget. This provides an easy, engaging way for customers to sign up and start earning rewards instantly.

Once customers are added manually or imported, the system will sync the data, and the customer's information will be reflected in the Customers List in Extra360. This ensures all customer data is up-to-date and ready for engagement with your loyalty program.

Note!

While customers can earn rewards without an account, they must create a password and log in to access their points and fully engage with your loyalty program.

2.How Customers Earn and Redeem Rewards

Customers are rewarded automatically after making a purchase, based on your defined reward program settings.

The following actions allow customers to earn points:

  • Placing an Order: Customers earn points either as incremented points (e.g., 10 points per $1 spent) or fixed points (e.g., 50 points per purchase).

  • Celebrating a Birthday: Customers are rewarded with a fixed number of points on their birthday.

  • Sign Up for Your Program: New customers earn points when they create an account on your store.

  • VIP Tier Achievement: Customers can earn additional rewards by reaching one of your VIP tiers, such as Gold, Silver, or Bronze, based on spending, placed orders or points milestones.

  • Referral Invitations: Customers can earn rewards by referring others to your store. When a customer shares a referral link, both the referrer and the new customer (referee) will receive points. This incentivizes customers to spread the word about your store, helping you expand your customer base through word-of-mouth promotion.

  • Extra Points Campaigns: Customers can qualify for extra points through special campaigns that apply to select products or collections, boosting their rewards for specific purchases.

These features motivate repeat business, enhance customer loyalty, and help align rewards with your business goals.

Redeeming Points:

After earning points, customers can redeem them for rewards such as discounts, percentage-based coupons, or exclusive products, depending on the rewards you’ve set up in your loyalty program. These rewards are automatically applied when the customer meets the necessary after the qualifying action, ensuring customers are immediately recognized for their loyalty and can easily redeem their points for valuable rewards.

3.Processing Refunds

Refunding purchases is simple and ensures loyalty program integrity:

  1. Navigate to Orders in Shopify’s main menu.

  2. Select the order to be refunded.

  3. Click the Refund button at the top right.

  4. Adjust the refund amount if needed, then click Refund to finalize.

Post-Refund Adjustments:

  • Extra360 automatically adjusts loyalty points:

    • Deducts points earned from the refunded order.

    • Sets the customer’s point balance to zero if insufficient points are available for deduction.

  • Sends a Notification to the customer, confirming the refund and updating them on their point balance.

By leveraging Extra360’s robust Loyalty & Rewards Program, you can seamlessly manage customer transactions, reward loyalty with added personal touches, and handle refunds with transparency and accuracy. This approach ensures a positive and engaging experience for your customers, strengthening their connection to your brand.
